Import licenses and assignments from Microsoft 365

Most IT teams know the drill: a user leaves, their account gets disabled — but their Microsoft 365 license quietly keeps running. Tracking down those gaps has meant PowerShell scripts, CSV exports, and manual spreadsheet work. We've built a way to do all of that automatically, directly inside ALVAO.

What is it?

This feature is built for Software Asset Managers, License Managers, and IT Admins who are responsible for M365 subscription costs and compliance. ALVAO now connects directly to the Microsoft Graph API and automatically imports your M365 license data and user assignments — no scripts, no manual CSV uploads, no separate tooling. The data goes straight into the standard ALVAO Software Asset Management model and is immediately available in your existing Power BI reports.

Licence import and usage

Where does it help?

1. Licenses still assigned to disabled accounts

A user leaves the company. IT disables their Entra ID account. But no one touches their M365 license. ALVAO automatically flags all licenses assigned to disabled users, giving you an actionable list to act on — no audit required, no script to schedule.

2. One source of truth instead of quarterly spreadsheets

If your team is still reconciling license counts in Excel updated once a quarter, this replaces that entirely. Once you connect ALVAO to your Entra ID tenant, license data syncs automatically and flows into your standard Power BI reporting — always current, always in one place.

Setup

An IT Admin grants ALVAO access to Microsoft Graph API directly from the ALVAO administration panel — the consent flow is identical to other Microsoft integrations like Intune, so if you've done that before, this will be familiar.

Available now

Microsoft 365 License Import is available now as part of the ALVAO Software Asset Management module on the Standard SaaS edition. Try it out and let us know how it fits your workflow — we're actively building on this foundation with more optimization capabilities coming in future releases.
