ALVAO Microsoft 365 License Import

This functionality provides tools to track, analyze, and report on the allocation and active utilization of Microsoft 365 subscription plans across the organization. The module aggregates telemetry data and license assignments to help administrators align subscription costs with actual user requirements and maintain license compliance.

Technical requirements

  • ALVAO Asset Management Professional (or higher)

Configuration (from version 26.3)

From version 26.3 above is Microsoft 365 License Import built-in function of ALVAO Asset Management. Follow steps bellow to activate it. To set up the connector for an ALVAO SaaS subscription:

  1. Go to Administration - Settings - Microsoft Entra ID.

  2. Click on the Microsoft Intune Connector - Provide consent link and accept required permissions to read your Intune devices.

  3. Configure following setting using the value from app registration.

  4. Tick the Enable checkbox and click the OK button.

License Import Behavior

  • Automatic Creation: - software licenses are automatically created and imported from Microsoft 365.
  • License Assignment: - licenses are automatically assigned to users within ALVAO Asset Management, or linked as external objects. This process does not create any new user accounts in the system.

The functionality adds a new column Warning in the Licenses table and the **License detail - **Assignment tab. The column displays warning text if:

  • The license is exceeded (e.g., when a license is marked as "in grace period" within Microsoft 365, Asset Management will display a corresponding warning status).

Microsoft does not provide purchase or expiration date details via the Graph API. Therefore, for all imported software licenses, the Valid from field is automatically set to the date and time when the license record was created in ALVAO.

Installation (version 26.2 and below)

For versions 26.2 and below to activate the Microsoft 365 License Import you have to install certificated application following steps bellow:

  1. Go to Administration - Applications and enable the Import M365 Licenses application.

    Manual download: ImportM365Licenses.xml

  2. Go to the Azure Portal and open Microsoft Entra ID for your tenant.

    • Create new app registration.
    • Create new client secret and store it on safe place for later use.
    • Add following application permissions for Microsoft Graph:
      • Organization.Read.All
      • User.Read.All
  3. Configure following settings using the values from app registration.

  4. Go to Administration - Applications and enable the application.

Initial import

In exceptional cases, the license quantity field may contain an inaccurate value in Alvao. If the license in M365 is exceeded (i.e., it is assigned to more users than its size allows), the Quantity field contains the total number of users to whom the license is assigned, and the Notes field contains information about the exceeded license.
