Stocktaking

The last used stocktaking is opened in the window, its number, date of start, and status (opened or closed) is stated in the header. If no stocktaking is opened, the information No stocktaking selected is displayed in the window header.
You can open the stocktaking using the FileOpen stocktaking menu. See the details in Asset Stocktaking Workflow.

The window contains the data about one stocktaking and it consists of two tables:

  • Upper table – contains the list of assets for stocktaking. The color-coded columns contain the data before the stocktaking process (white and gray columns) and the data discovered during the stocktaking process (yellow columns). The red columns contains status values, (Locked, Processed, etc.) The special column Error message contains unresolved problems with assets after the stocktaking process. If a problem has been found for an asset item, the icon is displayed in this column too.
  • Lower table – lower part of the window contains the list of barcode reader files into which the assets from the upper table is divided. You can export the reading device file from the individual readers and you can import the records about manual stocktaking back from the device.

Options:

Context menu options in the assets table:

  • Assign asset to reader file – assign the selected asset to reader file selected in the lower table.
  • Mark reader file – marks the reader file which the selected assets are assigned to in the lower table.
  • Mark object in tree – marks the selected assets in the tree in the Console main window.
  • Go to duplicate entry – marks the duplicate entry for the selected asset (if duplicate entry exists).
  • Transfer assets to user – transfer the selected object to the newly detected owner. If the object owner different from the one registered in the tree has been detected during the stocktaking, you can use this command to transfer the asset under a new user. If a new user exists in the tree, the assets will be transfered automatically; if there is a problem with finding the user, you will be asked for manual finding using the Objects window.
  • Transfer assets to ... – select the object under which you want to assign the selected assets (in the objects tree).
  • Note:
    The commands for transferring the assets cause a standard action of moving the object in the tree with all the corresponding dialogs. E.g. if you move a part form the computer set, you will be asked before the action, whether you want to move only the part, or the whole set; whether record the change into the Log, etc.
  • Lock records – disallow changes in records selected in this stocktaking.
  • Process records – process the selected records and write any eventual new information into registry.
  • Table – the menu allows to customize the table. For example to create filters, views or display multiple rows.
  • Find – search a text in the displayed table.
  • Delete – remove selected records from the stocktaking.
  • Edit – edit the selected record.

Context menu options in the readers table:

  • New reader file – create a new file for the reading device.
  • Export file for reader – export the file with documents for stocktaking into the reader device and save it to the drive.
  • Import file from reader – import files from the reader device (saved on the drive) used to perform the stocktaking.
  • Delete – delete the selected readers.
  • Edit – edit the data about the selected reader.
