License Registry

The License Registry is a central repository for all software license purchases and sales.

To view the list of purchased or canceled licenses and go to the main Console menu, select Software – License Registry. This will open the License Registry window. You can edit this list with the buttons in the window toolbar and/or with the commands from the context menu and commands in the window main menu.

  • Filter
    • Computer/User – if you wish to view only records for a certain computer/user in the List of Licenses, include the computer/user into this list.
    • Computer/User – "..." button – click on this button to open a list of computers and users where you can select a single object that you want to filter.
    • Product – if you wish to view only records for a certain product in the List of Licenses, include the product into this list.
    • Product – "..." button – click on this button to open a list of products where you can select a single product that you want to filter.
  • View – View invalid licenses – if this option is disabled, only valid licenses are displayed in the List of licenses.
  • View – Show license items – check this option if you want to show license items in the List of licenses. An icon is used to distinguish license items from the licenses in the list.
  • List of licenses – the list contains records on purchases or cancellations (e.g. sales) for individual software licenses.
    An icon is used to distinguish between valid and canceled licenses:
    • Valid license or a license issued to a product that is marked void in the Software products library.
    • License cancellation or making a license void e.g. by partial sale of the license, discarding a computer or giving a computer with OEM software to a third party as a present. Used to keep track of the License registry history.
    • Icon for a valid license item or for an item issued for a product that is marked void in the Software products library.
    • Icon for a void, canceled license item.
  • New – click on the Record license button to open the Registry New License Wizard.
  • Add link to document – selecting the Add link to document command from the context menu lets you assign documents to selected licenses in batch mode.
  • Edit – if you need to edit a record, click on its name in the list and then click on the Edit button.
  • Void license – click the Void license button to open the Void License Wizard. Void a license if you want to enter license expiration or if you sell an entire license or any part of it. If you don't want to keep track of the history of the validity or purchases of individual licenses, delete void licenses with Delete from Asset Registry.
  • Allow downgrade – if you need to enable software license downgrade, click on the license in the list and then click on the License downgrade button. Go to the list of products, select the product for which you want to allow the downgrade option and click on OK to confirm your selection.
  • Delete from Asset Registry – if you want to delete a license record from the list permanently, click on its name in the list and then use the Edit – Delete from Asset Registry command.
Note:
If you void a license or record a license upgrade, the individual license records will include links to the related licenses. These links can be viewed and edited in the License Registry – Edit window on the Links tab.
Tip:
If you want to display only valid licenses in the list and are not interested in the history, disable the View invalid licenses option from the View section of the main menu.
Tip:
If you need to find a computer/user with a certain license serial number, enable the option Show license items and enter the filter for the required value in the Serial number column.

Creating new licenses

Creating a new license and entering one or more activation keys.

  1. Go to the AM Console and switch to the License Registry.
  2. Use New license... in the context menu - this will open the Create New License Wizard.
  3. As the first step, select a product and click the Next button.
  4. In the second step, fill in the license details.
    If just one activation key is assigned to the license (multilicense), enter it in the Activation Key field.
    Click the Next button to finish the process.
  5. The Wizard will now show the next step: New license – License items.
    Click the Add button and enter all license items one by one.
    Note:
    • If the product contains multiple activation keys (e.g. OEM licenses), enter them one by one in the individual license items in the Activation Key field.
    • If an Activation Key is entered for a license, this value will already be pre-filled the item Activation Key field.
    • If the Activation Key field is filled in manually (i.e. is not pre-filled with the license activation key), a duplicity check is performed for all license items.
    Once you have filled in all items, click the Next button.
  6. Proceed with the next Wizard step.

Correction of mistakes in activation keys

A mistake was made in the Activation Key field during the Create License step, and you need to correct the license activation key.

  1. Go to the License Registry.
  2. Double-click the license that you want to correct the activation key for.
  3. Edit the value in the Activation Key field.
  4. Click OK to finish.
    Note: If the license contains no items with the same activation key as the license, the system will offer you to change the activation keys for license items too.

Manual license allocation based on the detected activation key

  1. Select specific computer in the Objects Tree.
  2. Go to the Software tab. A list of installed software opens.
    Note: You can display the Activation key (license) and Activation key (detected) columns in the table.
  3. Select a product to assign a license to.
  4. Select License – Assign license... from the context menu
  5. The License allocation window opens.
    Note: When the window opens, the system will select automatically the most suitable license for each product based on the detected activation key and license activation key.
  6. Check the selected product license and click the OK button.

Media

The Media Registry allows you to keep track of software installation media, dongles, user manuals etc.

Go to the Tools – Lists – Media in the main Console menu to open the Media window with the list of all media in your Asset Management. You can also edit the list in this window.

You can assign the media to purchased licenses in the Licenses Registrx, either while creating the license record in the New license – documents and media window, or when you edit an existing record on the Documents tab.

The media can be identified very similar to documents. You can also use Numeric Sequence to identify your media.

The Media window also includes a simple lending service. Media can be lent to and returned by all users defined in the Objects tree (you can use external users for this purpose too). This allows the system administrator to maintain a clear overview of media lent, date of lending etc. The records of media lending and returns are logged in the User log.
