Workflow

Workflows define the request statuses that will be available for the request. Each newly created process workflow already includes the statuses for New request, Solution, Resolution and Closure of the request.

Options:

  • New – creating a new request status.
  • Edit – editing the selected request status.
  • Delete – deleting the status selected.
    Warning:
    When deleting a status, a check is performed whether currently used status is used as a final status in some of the approving statuses, if yes, the status cannot be deleted.
  • Up – moving the selected status one step up.
  • Down – moving the selected status one step down.
  • Draw diagram in MS Visio – draws a diagram of the workflow selected. The Microsoft Visio application must be installed to draw. For processes with a larger number of statuses and possible transitions between them is usually necessary to edit the diagram in Visio manually.
Tip:
Order the statuses in the way they follow each other when performing the workflow. Special statuses should be ordered behind the Closed status.
Note:

The New Request status is a system status. You can rename it, but you cannot delete it or change its order.
The Resolve Request status is a system status. It cannot neither be deleted nor renamed, but its order in the workflow can be changed.
The Close Request status is a system status. It cannot neither be deleted nor renamed and its order cannot be changed.
