Handover protocols
If you want to create a new handover protocol, proceed as follows:
- Select a user (if you want to print an "internal handover protocol, cumulative") or an object you have moved in the Objects Tree.
- Select Print command from the context menu.
- A list of print reports opens. Select Internal handover protocol if you have moved the object to another employee within your company, or External handover protocol if you have moved the object e.g. to a servicing organization.
- Finally, the print report view will open on the screen in MS Word for internal handover protocols, or in the HTML Document window for external handover protocols, respectively.
Types of internal handover protocols:
- A differential handover protocol is printed for individual items. One or several items can be selected. Both the user and the IT department have to archive all protocols issued to be able to generate an up-to-date list of assets assigned to the user.
- A cumulative handover protocol is printed for a particular user and its purpose is to confirm all assets assigned to the user. Based to the latest version of the protocol, both the user and the IT department can generate a complete list of assets assigned to the user. We therefore recommend using this protocol type.
Note: If the numerical sequence for the marking of handover protocols and the Generate new document option are enabled, you will not be able to enter the document number in the Handover protocol (internal) window. The document number will be generated automatically based on the numeric sequence. See Numeric Sequences.
Notification: To create an attachment in the PDF format you need to have Microsoft Word 2007 or later installed on the computer.
Note: If an object (not a user) is marked in the tree, the generated handover protocol will only relate to this particular object.
