Sending messages
On this page, set up sending of emails. If you prefer, you can follow this video tutorial to help with the setup on this page.
Options:
- SMTP Server
- Address - enter the network address or name of the SMTP server. For M365 subscriptions it is usually outlook.office365.com.
- Port - enter the port number of the SMTP server. For M365 and other secure connections (STARTTLS), it is usually 587, for an insecure connection it is 25.
- Authentication - select the authentication method from the menu.
- OAuth 2.0 (Exchange online) - use an MS Entra ID registered app to access the MS Exchange SMTP server included in M365 subscriptions. To use this method, in the Microsoft Azure portal, go to your Microsoft Entra ID tenant, and add the SMTP.SendAsApp permission to the existing Alvao app (or you can create a new app, if necessary), and give the admin consent to the app. You also need to register service principals in Exchange.
- Application (client) ID - in this and the following two fields, enter the values of the matching names from the Entra ID app mentioned above.
- Directory (tenant) ID
- Client secret
- Email - enter the email address of the mailbox the Entra ID app will access. The SendAs permission mentioned below must be applied to this mailbox.
- Username and Password - use basic authentication.
- User name - enter the username of the user who is authorized to send messages from the specified SMTP server.
- Password - enter the password of the user.
Caution:
The username and password are stored in the Alvao database in readable unencrypted form.
Note:
If you are using Exchange Online, you need to
manually enable SMTP authentication.
- Integrated Authentication (not recommended) - select this option if the SMTP server can use the integrated Windows authentication.
- SSL - enable if you want to connect to the SMTP server securely (encrypted).
The user or app used for authentication must have the SendAs permission for email addresses configured for outbound messaging in Alvao, i.e., email addresses of all services and the sender address below. In the case of M365, see the permission is configured in the Exchange Server.
- Sender of messages
- Address - enter an email address to send general messages from Alvao, e.g., Contoso Alvao <alvao@contoso.com>. This address is used for sending news, periodic alerts,
notifications about problems in system settings, etc. Messages associated with tickets are sent from the email addresses of the ticketsā services.
We recommend entering an email address of an existing service used for receiving messages to Service Desk.
Otherwise, Alvao does not load replies from the mailbox. In that case, we recommend entering an email address without a mailbox (e.g., Contoso DontReply <do-not-reply@contoso.com>) or an address where you can arrange message pickup in another way. In Microsoft 365, if a non-existent email address is used and the username and password are entered correctly, the address of the mailbox associated with the given username will be used as a sender.
