Approval Schemes

Approval schemes determine the request approving process. Each approval scheme is a sequence of approval steps.

You can manage the list of approval schemes in ALVAO Admin under Manage – Service Desk – Approval schemes which will open the Approval schemes window.

Approval schemes are used in Have approved which can be run automatically based on the process settings.

Approval steps

An approval step defines who will approve the request in the current step. The request can be approved by the following people:

  • Requester – approval by the current requester of the request. If the requester is a Guest, the approval step is approved automatically.
    Warning:
    If the requester of the request is changed during approving, the newly set requester will not be sent any alerts about requests received for approval.
  • Requester's direct manager – approval by the requester's direct manager.
  • Requester's highest manager – approval by the requester's highest manager, i.e. by a person who is the highest above the requester in the organizational structure.
  • Group – approval by a member of the specified user group. Further options for this step will be available when you double-click on this step to edit it.
  • Only the requester or their manager – if this option is enabled, the requester's closest manager who is a member of the selected group will be the approver. The requester can also be the approver if he/she is a member of this group.
  • Custom – an own approving step defined in the database as custom client extension of the ALVAO system.
Note:
If there is no approver available for the approval step (e.g. the requester has no manager or the selected group of approvers has no members), the step must be skipped. If this is the only step of the approval scheme, approving will not be initiated and you will have to switch to the next status manually. If this is the last step of the approval scheme, approving will be terminated with the result of the previous step.
