Sending messages
You can use the following procedure to send an e-mail message regarding a specific request or requests to a specific person.
- In SD Console, display the All requests window, and
- select the request/requests and then select Send message from the context menu.
- go to the request log and select Send message from the context menu.
- A window will open where you can type your message. You can specify multiple recipients in the To field. Please separate the recipients with a semicolon.
Note: The "<request_tag>" string in the message subject will be automatically replaced with the request number before the message is sent.
- If you want to attach a file, click on Attach file in the Include pane.
- If you want to include the time elapsed between message sent and the requester's reply in the "waiting for requester" time, enable the Wait for response option. The time elapsed will only be included in the "waiting for requester" time, if the message is sent to the requester.
- If you want to make this message visible to the requester, enable the Show to requester option.
Note: The Show to requester option is disabled by default to avoid unwanted leaks of information outside the solver team. If you want the Show to requester option to be enabled by default, run the following script on the database: UPDATE tProperty SET bPropertyValue = 1 WHERE sProperty = 'SendMessage.ShowToApplicant' Use the following script to make the Show to requester option disabled by default: UPDATE tProperty SET bPropertyValue = 0 WHERE sProperty = 'SendMessage.ShowToApplicant'
- Click on Send to send your message.
- Your message will be sent via e-mail and a new entry containing the complete text of your message will be created in all logs of the selected requests.
Note: The report will be sent to recipients from the e-mail address of the service. Any reply to the message will be delivered only to the current solver of the request or all operators, if the request is without solver, and eventually to notification subscribers.
Users with the permission to report time can use the Message window to report their time at work, see Reporting Time.
Attaching Files
Message attachments (files) can be attached in a number of ways:
- Drag the file anywhere in the Message window. The file will be inserted as attachment.
- If your clipboard contains a list of files to copy, use the Ctrl+V keyboard shortcut. The files will be inserted in the message as attachments.
- Select General or Insert from the main menu and select the Attach file item.
- If a table is displayed containing the list of attachments, select Insert file from the context menu.
Inserting Images to Message Body
Images can only be inserted in the message body if the message uses HTML formatting. You can use the following method to insert images:
- Copy the image into the clipboard and insert it using Ctrl+V.
- In the SD Console: In the main menu, select Insert and then select Picture in the General pane and browse to the image on the drive.
- In the ALVAO WebApp: In the HTML window toolbar, select the picture symbol (addPicture) and browse to the image on the drive.
Tip: If the image in the clipboard has the BMP format (e.g. a screenshot, a picture saved on the drive), the image inserted on the current cursor position will be attached to the message as an attachment and it will be displayed in the text to the recipient.
Warning: If you copy an image from the browser to the clipboard, only the link will be inserted instead of the image itself. The image will display only if the link is available.
Note: The inserted image is converted into PNG format automatically.
Warning: In the ALVAO WebApp you can insert images from the clipboard in the Internet Explorer 11, Mozilla Firefox and Google Chrome browsers. This functionality is not supported in the Internet Explorer 9 and 10 browsers.
