Scheduled Tasks

Two reports suitable for notifying the administrators about incoming events are a part of the ALVAO Asset Management product.
Objects with nearing due date report (Expiring objects.rdl) allows to set the notification on any date in the object properties according to the defined advance (number of days in the future).
Licenses with nearing due date report (Expiring licenses.rdl) allows to set the notification on the validity or support date for license.

Note:
The reports have not been translated from Czech language yet.

Installation

You need to install the reports in the RDL format into the Report Manager application which is a component of the Microsoft SQL Server Reporting Services.
  1. In the requested folder in the Report Manager application select Upload File.
  2. Select the RDL file on the drive and confirm.
  3. Select the report and go to the Properties tab.
  4. In the Data Sources section set the connection to ALVAO database.
To set the report regular sending to e-mail execute the following procedure:
  1. In the Report Manager application elect the report and go to the Subscriptions tab.
  2. Select New Subscription where you set the following:
    • Delivery method to E-mail.
    • Recipient to which will the report be delivered.
    • Subject, report format and e-mail priority.
    • Sending scheduling.
    • Report parameters (parameters description below).
Note:
If you want to send reports via e-mail, you need to set the SMTP Server in Reporting Services Configuration Manager.
Warning:
The reports show objects and licenses regardless the access permissions set for users. We recommend to limit the access to report in the Report Manager only to authorized people who have the right to see the whole asset registry or licenses registry.

Objects with Nearing Due Date

The report is suitable for notifying about the incoming events/scheduled tasks in the asset registry.
There is a need to register a property containing any future date for required devices. This date may designate for example end of warranty, next check date, next replacement of UPS battery date etc.
The report with all objects having this date in their entered advance is then generated according to this date and the entered advance in order to give the technician enough time to respond on an event.

Parameters

  • Organizational part – enter a path to the folder in the tree you want to generate the report for. If you enter nothing, the report will be generated for whole registry.
  • Object kind – from the menu select one or several kinds of objects you want to show in the report.
  • Property – from the menu select the property which the scheduled due date is in.
    Date (property value) can be written in the following formats (spaces in front of and behind separators are permitted):
    • dd/mm/yyyy
    • yyyy/dd/mm
    • dd-mm-yyyy
    • yyyy-dd-mm
    • dd.mm.yyyy, d.m.yyyy
    • yyyy.dd.mm, yyyy.d.m
  • Filter – enter custom condition for filtering the objects by the values of any property in the SQL condition form.
    Example: „([Manufacturer] = ‘EPSON‘ OR [Manufacturer] LIKE ‘Gigabyte%‘) AND [Vendor] LIKE ‘Softcom%’”.
  • Advance (days) – enter how many days before due date may the objects show in the report.

Licenses with Nearing Due Date

The report serves to notify about expiring licenses and ending maintenance of licenses.
Licenses are selected according to the entered advance.

Parameters

  • Date – select the date you are interested in the report – "Valid to" or "Upgrade/Support to".
  • Filter – enter custom condition for filtering the licenses by the manufacturer in the SQL condition form.
    Example: „[Manufacturer] LIKE ‘Microsoft %‘ OR [Manufacturer] = ‘ALVAO s.r.o.‘”.
  • Advance (days) – enter how many days before deadline may the licenses show in the report.
