Web asset check

The web asset check is used to check the assets for which individual users are responsible, directly by those users. During a check, users mark the items they have found and those they have not in the web-form with a list of assets for which they are responsible. It means that only objects with the Person responsible for asset property filled in (or inherited) can be checked this way.

Compared to traditional asset check procedures, whether using printed inventory lists or barcode scanners, this method is significantly faster and more efficient.

Basic settings

  1. In Administration - Settings:
    1. On the Sending messages page, set the SMTP server and message sender.
    2. On the WebApp page, enter the URL of the Alvao WebApp in the WebApp (URL) field.
  2. In the Administration - Asset Management - Settings - Web asset check - Notification section - Text field - set the correct URL of the link to the Asset check page (e.g., https://contoso.onalvao.com/Alvao/AssetCheck). Edit the notification text as necessary.

If the default column settings of the Web asset form in the Alvao application do not suit you, set the desired view for any user and then overwrite the profiles of other users with that profile Default settings - Web Asset check - users responsible only for their assigned assets or Default settings - Web Asset check - users responsible for the department assets profile. (i.e., they are also responsible for assets that are not below them in the tree, see the Person responsible for asset property).

Sending notifications

Go to the Administration - Asset Management - Settings - Web asset check page and use the Send notification command to send the email notification to all users whose assets are involved in the asset check.

During the asset check process, you can resend notifications to users after a certain period of time. The notification will only be sent to users who have not yet marked all the assets they are responsible for.

Confirmation by users

Users will receive a notification of a pending inventory and will view the Asset check form via the link provided. On the form, they check the details of the assets and confirm whether or not the assets match the data entered. If they have any additional comments about the property, they can write a message to the asset manager.

Users who will perform web inventory must have registered user accounts in Alvao (e.g., imported form Entra ID, Active Directory, ...) through which they will log into the Alvao WebApp. The username listed in their object in the object tree in ALVAO Asset Management is not sufficient.

Users can also view the Asset check form by using the User Menu - Asset check command. The command is only displayed in the menu if an asset check is in progress.

The text on the form can be changed on the Administration - Asset Management - Settings - Web asset check.

Results processing

As individual users begin to validate their assets, the Objects page will begin to continuously display the results in the asset check object properties.
