Web asset check
The web asset check is used to check the assets for which individual users are responsible, directly by those users. During a check, users mark the items they have found and those they have not in the web-form with a list of assets for which they are responsible. It means that only objects with the Person responsible for asset property filled in (or inherited) can be checked this way.
Compared to traditional asset check procedures, whether using printed inventory lists or barcode scanners, this method is significantly faster and more efficient.
Requirements
- Users who are responsible for assets must be able to access the Alvao WebApp.
- The Administration - Settings - WebApp - WebApp (URL) field must be configured.
- Outbound emails from Alvao must be set up in Administration - Settings - Outbound emails.
Starting asset check

Before starting an asset check, go to Administration - Asset Management - Settings - Asset check and select the Asset managers or person responsible for that asset option. Enable Automatically send notification for pending asset confirmation and configure the notification text.

Start the asset check.

Responsible users will be notified automatically about the ongoing asset check. Notifications are sent with a delay of approximately one hour after the first asset is inserted.
You can change the delay in Administration - Settings - Advanced by modifying the
AM.AssetCheck.NotificationDelayMinutessetting.
If you want to resend notifications to users during the asset check process, use the Administration - Asset Management - Settings - Asset check - Send now command. The notification will only be sent to users who have not yet marked all the assets they are responsible for.
Confirmation by users
Users will receive a notification of a pending asset check including a link to the Asset confirmation form. They check the details of the assets and confirm whether or not the assets match the data entered. If they have any additional comments about the assets, they can write a message to the asset manager.
Users who will perform web inventory must have registered user accounts in Alvao (e.g., imported form Entra ID, Active Directory, ...) through which they will log into the Alvao WebApp. The username listed in their User object in the object tree is not sufficient.
Users can also view the Asset check form by using the User Menu - Asset check command. The command is only displayed in the menu if an asset check is in progress.
Results processing
As individual users begin to validate their assets, the Objects page will begin to continuously display the results in the asset check object properties.
